The plain-language contract that governs your enrolment, our services, and your rights as a student. Written in clear English, not legalese.
1. Who we are
iTokyo Language Academy India Private Limited ("iTokyo Academy", "iTokyo", "we", "our", "us") is a private limited company registered in India (GSTIN: 33AAFCI8140R1Z4) with its registered office at 1st Floor, 99E, Avinashi Rd, next to CIT College, opposite to CMC, Dr.Jaganathan Nagar, Aerodrome, Coimbatore, Tamil Nadu 641014. We operate the website itokyoacademy.com and provide Japanese language education, Study-in-Japan guidance, and Japan placement assistance.
2. Acceptance of these terms
By accessing or using our website, enrolling in a course, or engaging our Study-in-Japan or placement services, you agree to be bound by these Terms & Conditions together with our Privacy Policy and Refund Policy. If you do not agree, please do not use our services.
3. Our services
- Japanese language courses — JLPT N5 to N1, delivered offline at our Coimbatore campus, online live (pan-India), or through our self-paced LMS.
- Study in Japan guidance — counselling, UNITAS admission support, document preparation, COE and visa documentation guidance, and pre-departure briefings.
- Japan placement assistance — resume preparation, interview practice, and introductions to Japanese employers through our partner NEX-GEN Corporation (Tokyo).
- Technical training — skill-development tracks that combine Japanese language with technical preparation.
4. Enrolment and eligibility
To enrol in any programme, you must:
- Provide accurate personal information (name, email, phone, academic background).
- Meet the programme-specific eligibility criteria — for example, the UNITAS Study-in-Japan pathway requires a minimum 10+2 qualification and JLPT N5-level Japanese.
- Complete fee payment as agreed at enrolment.
- Be at least 16 years of age, or have a parent or guardian enrol on your behalf.
5. Fees and payment
Course fees are as communicated at the time of enrolment; published language-course fees are inclusive of GST (currently 18%). Fees may be paid by UPI, cash, or bank transfer (NEFT/IMPS). We do not store card details. For Study-in-Japan services, the fee structure is explained during your counselling session and formalised in a written enrolment agreement before you pay anything.
Fees are subject to revision. Any revision applies only to new enrolments; existing students pay the fee agreed at the time of their enrolment. A receipt or GST invoice is issued for every payment.
6. Refunds and cancellations
Refunds are governed by our Refund Policy, which sets out course-by-course rules and timelines. In short: a full refund if your course has not started, pro-rata treatment after it starts, and Study-in-Japan refund terms as set out in your written enrolment agreement.
7. Attendance, conduct and certification
- Regular attendance is expected for offline and online-live classes. Recordings are provided for missed online-live sessions where available.
- Students must behave respectfully toward trainers, staff, and fellow students. Harassment, discrimination, malpractice, or disruptive behaviour may result in termination of enrolment, handled in line with our Refund Policy.
- Course-completion certificates are issued on completing the syllabus and clearing the internal assessment. JLPT certification is conducted and issued by the Japan Foundation and is independent of iTokyo.
8. Trainers
Our N5 classes are taught by an experienced Indian trainer who specialises in building strong foundations for first-time learners. Native Japanese instructors lead classes from N4 onwards. We state this openly so you always know who teaches your level.
9. Website and LMS accounts
- Portal and LMS access uses OTP-based login linked to your registered email or phone number. You are responsible for keeping those contact channels secure.
- Accounts are personal — one account per student. Sharing login access or LMS content with others is not permitted.
- LMS access remains valid for the access period stated in your plan at the time of purchase.
- We may suspend accounts used for abuse, scraping, reselling content, or other misuse, after notifying you.
10. Intellectual property
All course materials, videos, worksheets, quizzes, recordings, and website content are the intellectual property of iTokyo Academy or its licensors. They are provided for your personal learning only. Re-uploading, reselling, redistributing, or publicly sharing paid content is strictly prohibited and may result in termination of access and legal action.
11. Study-in-Japan terms
- Admission decisions are made by UNITAS Japan, not by iTokyo. We support your application; we do not guarantee admission.
- COE (Certificate of Eligibility) decisions are made by Japan's immigration authorities, and visa decisions by the Japanese consulates. We prepare your documentation thoroughly, but we do not and cannot guarantee COE or visa outcomes.
- Across our last four intakes, our students have a 100% COE success record. This is a historical statistic, not a promise of individual results.
- If a COE application is refused, we re-apply once at no additional service fee.
- The end-to-end journey typically takes around six months, including COE processing of roughly 60–120 days. Timelines depend on UNITAS, immigration, and consulate processing and may vary.
12. Placement support terms
Placement assistance is provided with our Tokyo-based partner NEX-GEN Corporation. We provide structured support — profile preparation, interview practice, and employer introductions — but hiring decisions rest entirely with employers. We do not guarantee employment, and no legitimate placement service can.
13. Limitation of liability
iTokyo provides training and guidance services. We do not guarantee examination results, admission, COE or visa outcomes, or employment. To the maximum extent permitted by law, our total liability for any claim is limited to the fees you paid to iTokyo for the specific service concerned in the 12 months preceding the claim, and we are not liable for indirect, incidental, or consequential losses.
14. Privacy
How we collect, use, store, and protect your personal data is described in our Privacy Policy. By using our services you also consent to that policy.
15. Governing law and jurisdiction
These terms are governed by the laws of India. Any dispute arising out of or relating to these terms or our services shall be subject to the exclusive jurisdiction of the courts at Coimbatore, Tamil Nadu.
16. Changes to these terms
We may update these terms from time to time. Material changes will be notified by email to registered students, and the "Last updated" date above reflects the latest revision. Continued use of our services after an update constitutes acceptance.
