What we collect, why, how long we keep it, and the rights you have over it. We do not sell your data, we do not run ad networks, and you can delete your information at any time.

1. Our commitment

We take your privacy seriously. This policy explains what information we collect, why we collect it, how we store it, and the rights you have over your data. We follow the Digital Personal Data Protection Act 2023 (India) and align with GDPR principles for transparency and user control.

2. What we collect

When you interact with iTokyo, we may collect:

• Contact details — full name, email address, phone number (and WhatsApp number, if the same).
• Learning profile — your Japanese level, signup goal (Free Demo, Japanese Course, Study in Japan, Placement, General enquiry), and academic background.
• Study-in-Japan documents — academic transcripts, passport copy, sponsor financials (bank statements, ITR) — only if you enrol in the SiJ programme.
• Payment information — UPI reference, bank transaction ID, or cash receipt. We do not store credit card numbers.
• Website usage data — cookies for site functionality, anonymised analytics (page views, time on page). You can opt out via the cookie banner.

3. Why we collect it

• To respond to your enquiries and provide counselling.
• To enrol and deliver your course, and track your progress.
• To process your Study-in-Japan application with UNITAS and support COE/visa documentation.
• To connect you with placement opportunities through our partner NEX-GEN Corporation (only if you opt in).
• To send you course-related updates, class schedules, and exam reminders.
• To comply with legal, tax, and regulatory requirements.

4. Who we share it with

• UNITAS Japan — receives your academic transcripts, identity documents, and sponsor financials only if you enrol in our Study-in-Japan programme. Sharing is necessary to process your admission.
• NEX-GEN Corporation (Tokyo) — our sister company. Receives your CV and consent form only if you opt into Japan placement support.
• Indian and Japanese authorities — consulates, Immigration Bureau — only for visa documentation, as required.
• Service providers — Google Workspace (email), Cloudflare (CDN/security), our VPS hosting provider. These parties are bound by confidentiality.

We do not sell your data to third parties. Ever. We do not run ad networks or share data with marketers.

5. How we store it

Your data is stored on secure servers within India, in secure, access-controlled databases managed by iTokyo. Access is restricted to authorised staff. Passwords are hashed. We retain data only as long as necessary — typically the duration of your engagement with us plus 3 years for regulatory/tax purposes, unless you request earlier deletion.

6. Your rights

You have the right to:

• Access — request a copy of all personal data we hold about you.
• Correct — update inaccurate or incomplete information.
• Delete — request erasure of your data, subject to legal retention requirements.
• Port — receive your data in a portable format.
• Withdraw consent — opt out of marketing communications at any time.
• Complain — to the Indian Data Protection Board or our grievance officer.

7. Cookies

We use essential cookies for site functionality (your login session, language preference). Analytics cookies (anonymised page views) are optional and can be declined via our cookie banner. We do not use advertising cookies.

8. Children's data

Our services are intended for users aged 16 and above, or for minors enrolled by a parent/guardian. We do not knowingly collect data from children under 16 without parental consent.

9. Changes to this policy

We may update this policy as our services or the law evolves. Material changes will be notified via email to registered users. The "Last updated" date at the top of this page indicates the most recent revision.
