Refund Policy
How refunds work at iTokyo — course by course, with real numbers and clear timelines. We aim to be reasonable even in exceptional circumstances.
1. Language courses (JLPT N5 – N1)
Before the course starts
- Full refund if you request cancellation more than 7 days before the course start date. Full amount is refunded within 7–10 business days via the original payment method.
- 90% refund (10% administrative fee retained) if you cancel within 7 days of the course start date.
After the course has started
- Within the first week: 75% refund of remaining course fees.
- Within the first two weeks: 50% refund of remaining course fees.
- After two weeks: generally no refund, but we can pause your enrolment and let you rejoin the next batch at no extra cost (subject to seat availability).
LMS (self-paced access)
LMS access is digital and starts immediately upon purchase. We offer a 7-day refund window from the date of purchase, provided you have consumed less than 20% of the course content. After that, LMS purchases are non-refundable, but you retain your 6-month access.
2. Study in Japan (SiJ) service
Our Study-in-Japan service is delivered across 16 stages over approximately six months. Specific refund terms vary by stage and are formalised in your personalised enrolment agreement signed during counselling (Stage 3). In general:
- Before UNITAS interview (Stages 1–4): full refund minus any costs already incurred on your behalf (document verification, UNITAS screening).
- After UNITAS acceptance but before COE (Stages 5–10): pro-rata refund based on work completed.
- After COE received: non-refundable (COE is in your name and cannot be reversed).
COE rejection: iTokyo provides one free re-application as part of our end-to-end service. This is not a refund — it is continued service at no additional cost.
3. Japan placement service
Placement support fees are structured as success-based retainers. Specific terms — including refund scenarios if placement does not materialise within the agreed timeline — are detailed in your placement service agreement. We do not collect placement fees upfront without a signed agreement.
4. Technical training (TITP)
Technical training programmes follow the same refund structure as our language courses (Section 1), unless specified otherwise in your enrolment agreement.
5. How to request a refund
- Email info@itokyoacademy.com with the subject "Refund Request — [Your name / Course]".
- Include your enrolment confirmation, date of cancellation, and reason (optional but helpful).
- We acknowledge within 2 business days and process eligible refunds within 7–10 business days from approval.
- Refunds are issued to the same UPI ID / bank account used for payment.
6. Exceptional circumstances
We recognise that life happens — medical emergencies, family crises, unexpected financial hardship. If you face exceptional circumstances that fall outside this policy, email us and tell us what's going on. We will review your case individually and aim to find a fair solution, which may include extended pauses, transfers to a different batch, or goodwill refunds beyond the standard policy.
7. Disputes
If you disagree with a refund decision, you can escalate in writing to Kumar Palanisamy, CEO, at info@itokyoacademy.com. Unresolved disputes are subject to the jurisdiction of Coimbatore courts per our Terms & Conditions.
8. What this policy is not
- This is not a money-back guarantee. We do not claim outcomes (JLPT pass, COE approval, placement) are guaranteed. Refunds relate to fees paid for services, not to outcomes achieved.
- This policy does not supersede the specific terms of your signed enrolment agreement, which takes precedence for Study-in-Japan and Placement services.
